Why we keep a changelog

You deserve to know what you are paying for. We ship often, and every meaningful change is written down here.

This changelog covers user-facing changes only: no internal refactors, no plumbing. If it affects your day, it is listed. If this page stops being updated, that is your signal to ask us why.

    Calmer text, and red only where it matters

    • Red now means one thing: something needs your attention. A due date is shown in the normal colour even when it has passed; the line under it, such as Overdue by 28 days, is what turns red. Requested by Siyar
    • An outcome is a result, not a warning, so Lost to a competitor and the closed outcomes on the weekly panel are no longer red
    • Dashes between phrases are gone from every screen, the help pages and this changelog. Labels read more naturally: Sent, waiting for reply. Spoke, interested. Customer gone quiet. Chase for a reply
    • Follow-ups that already existed have been renamed too, so old and new wording do not sit side by side in your lists. Only text Kadefy wrote itself was changed, never a note someone typed
    • Date ranges now read 1 Aug 2026 to 31 Aug 2026

    Manager revenue follows the order, not today’s customer list

    • Every account-manager figure for a period, revenue, orders, average order, customers who ordered, is now counted on the manager recorded on each ORDER, the way your shop’s own commission report counts it. Reported by Dennis
    • It used to follow whoever held the customer TODAY. Reassigning a customer therefore rewrote their past: on one shop in August that put €100,241 on the wrong manager and left another €30,267 short. From now on a closed period stays closed
    • Past months change ONCE, today, to the corrected figures, and then no more. If you pay commission or set targets on these numbers, this is the moment to check which figures you used
    • A customer whose orders carried two managers counts under both in Customers who ordered, so that column can add up to more than the customers who actually ordered. The report states the real number underneath
    • Who a manager can SEE has not changed: their customer list still follows who is theirs today

    The follow-up report says what each date means

    • A closed call and the follow-up it books are written at the same moment, so both rows read the same date with nothing to tell them apart. Every row now says which it is: closed on a date, cancelled on a date, or new and due on one. Spotted by Johan
    • Follow-ups handled now also says how many CUSTOMERS those rows cover, one call can leave two rows on one person, so the row count reads as more work than was done
    • Still open and Overdue say they describe this period’s follow-ups. The Activity section below them counts every overdue item whatever its date, and the two sitting on one screen looked like a contradiction

    The follow-up list your sales meeting runs on

    • Reports → Account managers gains Follow-ups handled in this period: one row per follow-up started, closed off or called off inside the period at the top of the page. Customer, kind of contact, what came of it, what happens next, the new follow-up date, the status, and whether that customer ordered afterwards. Requested by Siyar
    • Five figures above it: follow-ups handled, how many were followed by an order and what share that is, the order value, still open, and overdue
    • Filter it to one account manager, page through it, and export the whole list to CSV or Excel
    • The order columns show what a customer bought in the period AFTER that follow-up, so somebody you spoke to twice shows the same order under both rows. The total at the top counts each order once, that is the figure to quote. Only orders with a status you count as revenue are included
    • It says what happened next, not what caused it: a customer who would have ordered anyway still appears

    A follow-up chain can be stopped where you are working

    • Cancel a follow-up straight from the Follow-ups page, an icon on every row, and a button in the panel beside the table. Until now it lived only on the customer's own card, so the page an account manager works in all morning offered no way to stop a thread. Reported by Imran
    • That matters because closing a follow-up off is what BOOKS the next one: close with "No answer" and Kadefy schedules the retry two working days later, by design. When somebody has simply stopped responding, cancel instead, nothing new is booked, and the row keeps its reason in the history
    • Dismissing a customer who still has open follow-ups now offers to cancel those in the same action, ticked for you, and says how many. A dismissal only ever stopped Kadefy SUGGESTING somebody; work already booked stayed on the list, which is why a dismissed customer kept arriving every morning
    • Untick it when you still owe them something, a quotation on an account you have otherwise written off. WhatsApp write-ups are never cancelled this way: those are closed by writing up what was said

    New customers follows the date picker

    • The New customers card on the dashboard now counts sign-ups in the period you selected, seven days, last month, twelve months, a custom range, instead of a fixed ninety days. Requested by Johan
    • It names its range on the card and carries a comparison against the period before, like the other range figures. Clicking it opens the customer list filtered to exactly those sign-ups
    • Same place in the strip; the note above it now says it is the one card that follows the filter. The figure appears after the next stats recompute

    A manager can be left out of the automatic tasks for good

    • The Pause control on the Managers page gains "Off indefinitely": no generated tasks for that manager until someone switches them back on, for the colleague the morning list is simply not meant for, such as a working owner. Requested by Siyar
    • Distinct from the holiday pause on purpose: a pause lifts by itself on the return date, the off-switch does not

    Exports for account managers become a choice

    • A new switch in Connection Settings decides whether account managers see the CSV and Excel buttons, on the customer list, the orders page and the reports they can open. Owners always keep them. Requested by Siyar
    • Switched off, the buttons disappear and the bulk download behind them is blocked on the server as well, it is a rule, not hidden furniture
    • On by default: nothing changes anywhere until an owner unticks it
    • Also fixed: "Hidden from this list" on the Follow-ups page showed an account manager the whole store's dismissed customers instead of only their own. Spotted by Johan

    The suggestion sections become a choice

    • Needs attention and Worth a call on the Follow-ups page can now be switched off per store, under Connections → Settings → Follow-ups page sections. Requested by Siyar
    • Off means gone for everyone on that store, the section disappears and the work behind it stops running. The worklist itself is always shown
    • New stores start with both sections on

    Kadefy can suggest the morning's calls by itself

    • Switched on per store (Connections → Settings → Automatic follow-up tasks), Kadefy adds up to a chosen number of call tasks to each account manager's day, every working morning, for customers who registered but never bought, or who have gone quiet. Requested by Siyar
    • Every generated task is marked Auto and says why it exists, so it can be judged at a glance and measured apart from the team's own work
    • The system stays polite: customers with an open or recent follow-up are never suggested, dismissed customers are skipped, and cancelling an automatic task keeps that customer off the list for 30 days
    • Holidays are covered: pause a manager on the Managers page until the date they are back, and the pause lifts by itself, nothing to remember to switch back on

    The customer card shows the city

    • Customer details on a customer's page now includes City, above Country, both come from the customer's default address in your shop. Requested by Siyar
    • The city fills in as customers pass through a sync; a full customer sync fills the whole book at once

    "No account manager" moves to the manager dropdown

    • On the Customers page, "No account manager" now sits in the account-manager dropdown, alongside the names, it is a question about managers, not about how somebody buys. Requested by Siyar
    • "Has account manager" is gone: picking any name in that dropdown already answers it
    • Old links and remembered filters that used the previous spot keep working, they land on the same list, with the manager dropdown set for you
    • That dropdown now follows the Team page's rule for deleted managers: someone removed from the shop disappears once they hold no customers, instead of lingering as a name that can only ever match nothing. Spotted by Johan

    The dashboard no longer flickers at the turn of the month

    • A tab left open across midnight on the 1st could start alternating between two states, several times a second, the period filter and the figures visibly disagreeing about what day it was. Refreshing the page stopped it; it could return every month
    • Cause: the page resolves "Last month" against the shop's own today, and briefly shows the previous result from cache while the next loads. Across midnight the cache still held yesterday's world, and re-resolving against it flipped the range back and forth endlessly
    • The shop's today can now only move forward within an open tab, which breaks the loop. Reported by Johan at 00:53 on the 1st

    Follow-ups opens on My Day, and the table turns pages

    • The Follow-ups page opens on the My Day tab, overdue plus due today, instead of on everything. Forty-eight rows is not a morning's answer to "what has to happen before tonight"; the rest is one tab away
    • The table shows fifteen rows a page, with Previous / Next and "Showing 1 to 15 of 48" underneath, so Needs attention and Worth a call are no longer buried under a long list
    • Changing tab or account manager returns to the first page. Ticking off the last row of a page shows the page before it rather than an empty one

    The weekly panel opens what it counts

    • The follow-up figures link through. Waiting on the customer, next steps overdue, and every manager's open, overdue and waiting counts open the Follow-ups page filtered to exactly that slice, manager and tab already set
    • A period picker on the panel: the closed figures and Orders now cover whatever range you choose instead of a fixed seven days. The standing figures, open work, waiting, no-date, describe worklists as they are and ignore it, and the footnote says which is which
    • Closed counts and outcome figures deliberately do not link anywhere: there is no list view of finished work, and a number that opens the wrong thing is worse than one that opens nothing

    The third unanswered chase asks what happens with this customer

    • Chase, no reply, chase, no reply could repeat forever with every step looking perfectly handled. After three closed-unanswered attempts in a row, picking another waiting outcome now opens a decision: keep chasing, nurture 30 days, nurture 90 days, or give up via Dismiss
    • Nurturing parks the customer, off every list and every suggestion, and books a re-engage call for the day they return. Reaching them, even to hear "not right now", resets the count: silence ended
    • The weekly panel gains a row per account manager: open work, overdue, waiting, follow-ups with no date, closed this week, and how many of those closes were an Order. The no-date column can only fall, and the row where it is not yet zero is the one to talk about on Friday

    A new outcome for the call where somebody says they will order

    • WAITING FOR THEIR ORDER, an eighth outcome. There was no way to record that call: Order was untrue because nothing had arrived, and Spoke, interested made you invent a next step where none of the five fitted
    • Kadefy books a chase five working days out, and if the order arrives before then it closes that chase itself, recorded as an Order, so your week's figures show that the call produced one. It is the only follow-up the system ever closes for you, and only because you asked it to watch
    • It closes on a real order, never on an abandoned basket
    • On any OTHER follow-up nothing happens automatically. You see "Ordered 18 Aug" under the status and decide yourself, a samples follow-up must not close because somebody bought something unrelated

    A customer's first order no longer reads as zero

    • A customer placing their FIRST order showed "Total revenue € 0,00 / Orders 0" on their card, beside a Last-12-months chart of that very order and a Recent orders table listing it. The same customer read € 0,00 in the customer list
    • It lasted until the weekly rebuild, so up to a week. On this shop eleven customers were in that state at once
    • Everything was already being worked out correctly; the one row those three cards read simply was not written. It is now, on the first sync after the order
    • Their status now reads New rather than nothing, which is what a first-time buyer is

    You can see what a follow-up is, and it can no longer be closed silently

    • An icon beside every customer on the Follow-ups page says what the row is, a call, an email, a WhatsApp, a visit, a note or a to-do. A call you have already made and a call you still owe used to look identical
    • "Save & mark done" in the editor closed a follow-up outright: no outcome, no next step, thread over. It now saves what you wrote and takes you straight to the two questions, and it is called Save & close off
    • There is no longer any way to mark a follow-up done without answering them. That is enforced where it cannot be worked around rather than in one form

    A logged call now leads somewhere

    • Writing down a call, an email, a WhatsApp or a visit asks the same two questions as closing a follow-up: what came of it, and what happens next. Four of the seven outcomes still finish on one click
    • It is there because "they are interested, we need to send them a quotation" used to leave nothing behind. The note said exactly what to do and nobody was ever asked to do it. That same call now produces the follow-up
    • Notes are exempt, an address change asks nothing, and a to-do has not happened yet
    • A follow-up can no longer be left without a date. Every form fills in today, and you can move it. An undated one appeared in no tab and surfaced on no morning; on one shop that was 22 of 28 open follow-ups, invisible

    The Follow-ups page, rebuilt

    • One table instead of two lists. Yours and your team's follow-ups sit together with an Owner column telling them apart, so a morning's work is one glance rather than two sections
    • Six tabs across the top with live counts: My Day (overdue plus today), Overdue, Today, This week, Waiting for customer, Snoozed / Inactive. Six figures beside them, including Quotations to send and Call backs, those two describe the kind of work rather than how urgent it is
    • Three columns that used to be one. Last outcome is what came of the last conversation; Current status is where the follow-up stands now; Next step is what happens next. Each answers its own question
    • Under every customer's name: how long since they last ordered, and how much room there is to grow them. VIP accounts are badged
    • Click a row and a panel opens beside it with the customer's whole activity timeline, the phone and WhatsApp buttons, and one click to close the follow-up off
    • New follow-up at the top right writes one for any customer without going to find them first
    • Needs attention and Worth a call are unchanged, at the foot of the page

    An owner can be an account manager too

    • Somebody who owns the business AND carries their own portfolio could not be tied to their manager record. Assigning them a customer notified nobody, and their name was missing from the list of people a follow-up could be handed to. Neither failure showed an error
    • Settings → Members now offers that link for owners as well. It does NOT narrow what they see: an owner always sees the whole business, and the control says so. It only records who they are in the shop
    • For an account manager the same control means what it always did, it decides which customers they may see
    • A manager record already taken by somebody is greyed out, so two logins cannot claim the same portfolio

    The Account managers page, redesigned

    • Five figures across the top describing your whole customer book: total, active, new, and the orders and revenue for the period you picked
    • Customers with no account manager have their own panel now instead of being the last row of the team table. On a shop that has never assigned anybody that is most of the business, and it was reading as one more manager called "No account manager"
    • That panel finally shows Active and New instead of two dashes. The figures were already being worked out during the rebuild, they simply were not being handed to the page
    • Its numbers are the unassigned pool, deliberately different from the cards above it. The line under the count says how many have never ordered at all
    • View & assign customers opens the filtered list where you can hand over a batch in one go
    • New customers names its window, "First order in the last 30 days", taken from your own classification settings. Without it there was no way to tell whether 19 meant this month, this year or all time. It is also a different question from the New customers card on your dashboard, which counts sign-ups, and now both say which they mean
    • Every manager has a coloured badge with their initials, and Active shows the share of that manager's own book, 54 active means one thing on 60 customers and another on 300

    Managers who left your shop are gone from the dashboard too

    • The Account managers table on the dashboard still listed people the shop had removed, sitting at zero customers and zero revenue. They already vanished from Managers and from the follow-up lists; now they go here as well
    • Same rule as the Team page, not a blanket hide: somebody who was removed but still HOLDS customers stays, so their revenue cannot leave your totals unannounced and those customers keep a route to the reassign button
    • It updates on the next sync rather than the next weekly rebuild, so a departure shows up the same day on every screen

    Active customers was counting a fraction of them

    • The Active customers figure counted only the customers labelled Active, and that label is the leftover bucket, a VIP who bought yesterday was filed under VIP and left out, as were Growth and New. On EMC it read 464 where the honest answer is 1,175
    • It also used the wrong threshold. Active now means ordered inside your INACTIVE window (60 days on EMC), not your at-risk one. A customer flagged at risk is quiet, not gone, so they count
    • Clicking the card now opens a list holding the same number. It used to show 464 rows under a card reading something else
    • The same figure on the Managers page moved too, it left the at-risk customers out. Dashboard, customer list and manager rows now answer the question the same way
    • At risk is unchanged, and is a subset of Active rather than a separate group

    A missed call is work you owe, not work you are waiting on

    • Closing a follow-up with No answer books the retry, and that retry was being labelled "Waiting for customer". Nobody is waiting on the customer after a missed call, it now reads In progress, which is your own live thread
    • Order rows on a customer page can be opened from the keyboard, and the arrow says whether the lines are open
    • The outcome and next-step buttons announce which one is selected, instead of showing it in colour alone
    • A next-step date more than two years ahead is refused. A mistyped year created a follow-up that was never overdue and never appeared on anybody's list again

    Both revenue charts have a scale now

    • Last 12 months names every month under its own bar. It used to label only the first, the middle and the last, that was right for a chart a quarter of the page wide, and that chart is now the full width of its column
    • A scale runs down the left of it: nothing, half, and the customer's biggest month. The top line IS that month rather than a rounded number above it, so it reads as a fact instead of an invented ceiling
    • The revenue chart on your dashboard gets the same treatment, three faint gridlines with the figure beside each
    • Amounts on a scale are shortened: €127.3K rather than €127,319.79. The exact figure is still one hover away

    The spend cards show your top five

    • Brand, your second reporting level, and Favourite products each open with the five biggest and a "Show all" underneath. One supplier had sixteen brands, which made that card three times the height of the one beside it
    • The bars still measure against the whole list, so the top row does not stretch to full width just because the rest is folded away
    • Drilling into a brand folds the list back to five, opening sixteen brands should not also open every category underneath them
    • On the worklist? sits at the top right of the customer page. It is the only thing in that row you can act on, and Last 12 months takes its place along the bottom, where a wider chart is a better one

    The customer page, rebuilt

    • Who the customer is and what has been said to them now sit together down the left, and everything they are worth sits to the right. The old layout gave a phone number the same width as a four-figure revenue card
    • Notes & follow-ups opens with six tiles, Note, Call, Email, WhatsApp, Visit, To-do, instead of a row of small grey words. Same six kinds as before, finally visible
    • Click any row under Recent orders to see that order's lines, without leaving the page
    • Order statuses are now coloured pills. Green counts towards the revenue figures on the page, grey does not. The colour comes from your own "which orders count as revenue" setting rather than from guessing at the word, so it is right in any language
    • Under the account manager it now says who handed the customer over, and when, "Assigned 3 days ago by Siyar Zamani". It appears only for assignments made inside Kadefy, and it disappears again if somebody later changes that customer's manager in your shop, so it can never credit the wrong person
    • Every card carries a small icon, so you can find the one you want before reading the heading
    • In dark mode a few icon squares on the dashboard and customer list were painting themselves near-white. Fixed

    Six fixed figures at the top of your dashboard

    • The dashboard opens with a strip that does NOT follow the date filter: total customers, active, at risk, new sign-ups, and orders and revenue over the last seven days
    • It says so above the cards, because when your filter happens to be set to seven days the strip and the figures below show the same numbers, and that should read as a confirmation rather than a puzzle
    • The four customer cards open the customer list with their filter already applied
    • Active and At risk name the windows that actually define them, taken from your own classification settings rather than a fixed number. Change a threshold under Settings → Classification and these labels change with it
    • New customers counts sign-ups in the last 90 days. That is a different question from the New badge in your customer table, which is about a first order, the card says which it means
    • Two of the six need a recompute before they can be shown. Until then they display a dash and say so, a figure that is quietly wrong is worse than one admitting it does not know yet

    Five cards above your customer list, and each one filters it

    • Customers opens with a summary strip: total, active, at risk, new sign-ups and VIP, each with its share of your book beside it, so a count reads as a proportion rather than a bare number
    • Every card is a filter. Click At risk and the table below shows only those; click it again to clear it
    • The counts do NOT change when you filter. They describe your customer base; the table describes the question you asked of it, a card that recounted itself against its own filter would move the moment you clicked it
    • New customers means signed up in the last 90 days, and the card says so. That is a different question from the New status badge in the table, which is about how somebody buys, on a real shop the two can differ by a factor of fifty

    See what a week of follow-ups actually produced

    • A new This week's follow-ups panel on the dashboard, showing the last seven days by OUTCOME rather than by how many calls were made, interested, not interested, waiting, lost, ordered
    • Beside it, what those conversations created: quotations, samples, call-backs and meetings, so a week's work can be judged by what came out of it
    • Two lines for the state of the pipeline underneath: how many threads are waiting on a customer, and how many next steps have already slipped. The overdue count is the only figure allowed to be red, it is the one that is a problem rather than a result
    • It says what it is based on. Outcomes have only been recorded since 14 August, so the panel names how many of the week's closed follow-ups carry one instead of implying your older history is included
    • Expect small numbers at first. They grow from the day your team starts closing follow-ups with an outcome, which is now every time
    • Account managers see their own team's figures; owners see the whole business, the same scoping every other list uses

    A follow-up now ends with what came of it

    • Ticking a follow-up off asks two things: what came of it, and what happens next. “Contact gehad” tells nobody whether the customer wants a quotation or has bought from somebody else, and that was the point of the change
    • Seven outcomes to pick from: no answer, spoke, interested, spoke, not right now, sent, waiting for them, not interested, lost to a competitor, or an order
    • Four of those close on one click. No answer and Sent, waiting for reply need nothing more from you: Kadefy writes the next follow-up itself, two working days later for a missed call and five for something you have sent. Not interested and Lost to a competitor end the thread
    • The other three ask what happens next, a quotation, samples, a call back, a meeting, or nothing further, and a date. The follow-up that creates lands on YOUR list, not somebody else's
    • Notes stay optional throughout. If a call went nowhere, one click is the whole job
    • Dates skip weekends, so a Thursday chase comes back on a working day rather than arriving already overdue on the Monday
    • The weekly figures this makes possible, how many calls became a quotation, a sample, a meeting or an order, per person, come next. They need a few weeks of real outcomes behind them first, and will say what period they cover rather than implying older work is included

    The menu moved to the side, and pages use the whole window

    • Navigation is now a rail down the left with an icon beside every entry, instead of a row across the top. The row had run out of room at nine items and only appeared on wide screens, on anything narrower everything hid behind a hamburger, including the follow-ups reminder
    • You can fold the rail down to icons when you want the width back, which is worth doing on the wider report tables. The follow-ups count survives as a dot, so folding it away never hides the one thing the menu exists to nag about
    • There is a search box in the top bar, and Ctrl+K jumps to it from any screen. It searches your customers by name, company, email, phone or customer number
    • Pages now fill the window instead of sitting in a fixed centre column. Tables with a lot of columns gained roughly 300 pixels
    • Every screen opens the same way: title, one line saying what you are looking at, and the controls for that page on the right
    • Figures you can click through now show a small arrow, so a number that opens something is no longer indistinguishable from one that does not
    • Who you are signed in as sits at the foot of the menu instead of the top corner, worth a glance on a shared machine before writing a follow-up

    See where your revenue comes from, by country

    • A new Top countries panel on the dashboard shows your five biggest countries for whatever period you have selected, with each one's share of revenue and its order count
    • Reports has a new Countries section with the full list: revenue, share, orders, average order value, and the change against your comparison period. It exports to CSV or Excel like every other report
    • A country is where the CUSTOMER is registered, not where the order was delivered, so a reseller registered in your country but shipping abroad counts as yours. Orders are a true count rather than a split, because an order belongs to one customer
    • Guest orders and customers with no country are shown as “(not set)” rather than dropped, so the shares always add up to your actual revenue

    Re-sync just your products, without re-reading your whole order history

    • Ticking a product attribute you were not storing before needs every product fetched again, because your shop only sends the attributes Kadefy asks for. Until now that meant a full sync, on a shop with 200,000 orders, re-reading all of them to pick up one field on 23,000 products
    • Reporting settings now has Re-sync products beside Save. It fetches your catalogue and nothing else; your orders and customers are left exactly as they are
    • It counts up while it runs, and then says when your figures are being rebuilt, the two halves take several minutes between them, and a button that goes quiet is indistinguishable from one that did not register the click
    • Your figures rebuild by themselves when it finishes, and it is a full rebuild on purpose, new attribute values change how every product is grouped, which the quicker rebuild after an ordinary sync would not pick up

    A customer's buying profile opens instantly, however much they have bought

    • The two spend cards and Favourite products on a customer's page used to be worked out by reading that customer's entire order history every time you opened them. On the largest accounts that was thousands of orders plus a separate lookup for every product they had ever bought, so the page was slowest for exactly the customers most worth opening. They are now worked out during the weekly rebuild and read in one go
    • It was also close to a hard limit: the biggest account needed 3,901 database reads against a ceiling of 4,096. Those pages were heading for an error, not just a wait
    • Anything bought since the last rebuild is added on top, so the totals stay current between rebuilds
    • The spend cards now drill down through the reporting levels your owner configured and stop at the last one. They used to end on a list of individual products, those are on the Favourite products card beside them, which shows the eight biggest by lifetime spend
    • Every row in the cards now shows how many were bought as well as what they were worth

    Choose which days of the week your store syncs

    • Automatic sync can now be limited to certain weekdays. Switch off Saturday and Sunday and you drop two sevenths of your syncs, and of the figure rebuild that follows each one, which is the expensive half
    • The days are your shop's own, like the hours beside them: a shop in Amsterdam stops on ITS Saturday, not on the server's
    • Every store keeps syncing all week until you change it, and the last remaining day cannot be switched off, if you want no syncing at all, turn Auto off, which is the button next to it
    • The Connections line now reads “auto every 10 min, Mon Tue Wed Thu Fri” once some days are off, so what a store actually does is visible without opening anything

    People who have left your shop no longer turn up where you pick somebody

    • Fixed: the account-manager filter on Follow-ups still listed people removed from your shop

    • Fixed: a removed manager kept receiving notifications about customers they no longer hold. Their Kadefy login outlives their shop record, since unlinking it is a separate step on Settings → Members

    • When choosing which product attributes to report on, the “on N% of products” figure beside each one is measured from a wider sample, taken from both the oldest and the newest products in your shop. Reading one end only could report an attribute as being on no products at all when it was really on thousands, and 0% is exactly the figure that would tell you not to use it
    • The screen now says what the figures rest on, “measured on 500 of your 19,005 products”, instead of implying it had looked at everything

    A full record of who dismissed a customer, when and why

    • The customer list can now show ONLY the dismissed ones. It used to be hide-or-mix-in, which could not answer “what have we dismissed so far” while a clean-up is under way
    • NEW, the customer list exports to CSV and Excel. It covers the whole filtered list, not the page on screen, and when you are looking at dismissed customers it carries the reason, the note, who decided and when
    • Dismissals now appear in a customer's own Notes & follow-ups, in among the calls and notes, so the whole story of an account reads in one place and in order
    • Fixed: a dismissal only reached an account manager's activity timeline if their Kadefy login had been linked to their shop record, which for most people it has not, so their page showed nothing. A manager now sees everything that happened to THEIR customers, whoever did it
    • When somebody else made the decision, an owner clearing out old accounts, the entry says so, and it is not counted as that manager's own work
    • Dismissing a batch of customers at once now reads as one entry with the number on it, rather than filling a timeline with identical lines

    • Product mix has a new “By month” view. Click into a brand, Rixus, say, switch to By month, and you get units, revenue and average price for each month in your range, with a total underneath
    • It works at every level, not just brands: drill into a category or a product type and the month view follows whatever you are looking at
    • Both views export to CSV and Excel, and the file carries the path you drilled as its own columns, so a row still means something once it is out of Kadefy
    • Average price is revenue divided by units sold. The total row works it out from the totals rather than averaging the months above it, so a quiet month does not count the same as a busy one

    • Automatic sync can now be set to every 10 minutes. Thirty was the shortest before. Ten is as low as it goes because Kadefy checks for due stores every five minutes, so a shorter setting would promise a cadence it could not keep
    • A store still syncing is never started again on top of itself, if a run takes longer than the interval, the next one begins when it finishes
    • Fixed: on Reports → Account managers, the “Show” picker still listed people who had been removed from the shop. They now drop off once they have nothing left in the period
    • Someone who has left but still holds customers or unfinished work stays on the list, marked “no longer in the shop”, their activity is counted in the chart above, so hiding the row would stop the two agreeing

    Shopify stores can now report on their own product attributes

    • A Shopify store's product metafields can now be used as reporting levels, the same way OpenCart attributes already could. Tick the ones you want on your store's Settings page, re-sync your products, and they appear in the Product mix report and in the drill-down
    • This includes attributes that are a reference to something else, Shopify shows you a name, and Kadefy now stores that name rather than the code behind it
    • An attribute holding more than one value on the same product is reported as one combination, so a product is counted once and the totals still add up
    • A Shopify store can have hundreds of metafields, so the list puts the ones that make a readable report first and adds a search box for the rest. Anything that would put every product in a group of its own, a date, a link, a document, is left out
    • Attributes set up by an app or a PIM are included, even when your store has no formal definition for them

    The customer spend cards are named after your own reporting levels

    • The two cards are now headed with YOUR reporting levels rather than “Spend per brand” and “Categories”, so if you have set Brand and Category, that is what they say. Change the levels on your store settings and the cards follow

    • “Reporting” on the Connections page is now called “Settings”. It is where the settings live, and people were not finding them

    Your figures catch up in seconds after a sync

    • After a sync, Kadefy now recomputes only the months that actually changed instead of rebuilding everything from scratch. On a shop with 200,000 orders that is about twenty seconds rather than several minutes, so the dashboard reflects this morning's orders while you are still looking at it
    • Everything a sync updates now moves together: the revenue chart, a customer's own totals and scores, the Active/Inactive labels, the inactivity bands and the per-manager table. Previously some of those waited for the overnight rebuild, which is how a customer could read “Inactive” beside an order they placed that morning
    • A very large sync, a first import, or a re-sync of your whole history, still rebuilds everything the old way. Nothing is skipped; Kadefy just picks the cheaper route when it is certain it can
    • Fixed: on rare occasions the dashboard could show an empty revenue chart while every other figure looked normal. If two rebuilds overlapped, one could delete the other's figures as it finished. Rebuilds can no longer publish results that another has already replaced
    • The “last 30 days” and “last 90 days” figures now count whole days in your shop's own timezone, rather than counting back to the exact minute. A figure labelled in days now means days

    Dismiss from the lists, a bell for assignments, and readable order statuses

    • NEW, Dismiss is now on Customers and Inactive, not just Follow-ups. Same question either way: is this just this suggestion, or is this not a customer any more, plus a reason and a note in your own words
    • Owners can dismiss a whole selection at once. Tick the customers, press Dismiss, give one reason, and it is recorded against every one of them
    • Account managers dismiss one at a time. That is deliberate: one considered decision at a time is a judgement, a hundred at once is a way to make a worklist look finished
    • Dismissed customers leave both lists, and a “Show dismissed” line appears so you can always find them again. It only shows up when there is actually something hidden
    • “Not now” still only affects your follow-up list. It never removes anybody from Customers or Inactive, it is one click with no reason asked for, and it should not be able to make a customer disappear
    • A customer’s page now opens straight away, even for your biggest accounts. Their profile, revenue, scores, chart and addresses appear at once; spend per brand, categories and favourite products fill in a moment later. Those three had been holding up the whole page while Kadefy read the customer’s entire order history
    • Kadefy no longer rebuilds all your figures after a sync that changed nothing. Your shop re-sends customers whenever one of them logs in, and that alone used to trigger a full rebuild, two dozen a day on a busy store, each producing figures identical to the ones it replaced. Rebuilds now run only when something actually changed
    • Account managers removed from your shop no longer clutter Reports → Account managers with rows of zeros. They still appear for any period they actually earned in, marked “no longer in the shop”, because a report describes a period that has already happened and the rows have to keep adding up to the total
    • The “Stats computed” note at the top right of the dashboard now shows the time as well as the date, in your shop’s own clock
    • Fixed: a full re-sync could stop partway through with “too many system operations”. Storing the new order addresses had doubled the work done in one step; the addresses are now saved separately. A sync that hit this can simply be started again, it resumes where it stopped
    • Fixed: the Orders tile on the dashboard stopped opening the orders behind it. If you had ever started typing a custom date and not finished it, that half-written range was remembered, and it quietly switched off the links on every tile. Incomplete ranges are now discarded on load
    • An account manager’s dashboard now shows the week ahead, not only what is overdue. The panel at the top lists anything late first, then everything due in the next seven days, so it reads as a diary rather than a telling-off. Previously it looked one day ahead, and hid even that unless you were already behind
    • Reports → Revenue now lists the newest period first. The current month was previously at the bottom of the table, which on a long range meant several pages away
    • Fixed: Reports → Products & brands showed only 25 brands with no way to see the rest. Both tables on that page now list every brand, 25 to a page
    • Fixed: the share column in the Product mix export opened in Excel as 0.9359 instead of 93,59%
    • Fixed: order statuses always showed in English, whatever you set as your Product Language. Your shop sends every translation at once and Kadefy was reading the first one. It now reads the one you chose, and picks up seven statuses that were previously missing from the list altogether
    • Fixed: the Orders page loaded oldest orders first, so every batch that arrived pushed the list down and the row you were about to click moved away. It now loads newest first, the top of the list is right from the first batch and stays put while the rest loads underneath
    • Dismissing a customer now asks ONE question instead of two. You pick why, and the reason decides how long it lasts, each option says so as you choose it. Most mean “back if they order again”; “Out of business” and “Duplicate account” stay off every list until you undo them, because an order does not disprove either
    • NEW, owners get an “Ordering, but still hidden” warning on the follow-ups page. If a customer written off for good is placing orders, either the reason no longer holds or the account is a duplicate still taking money. Nothing else would have told you
    • Selecting customers now gives you ONE bar with both actions, set the account manager, or dismiss. There were two bars sitting on top of each other, so the dismiss one was invisible
    • You can now have several WhatsApp conversations going at once. Before, an unwritten write-up stopped you opening WhatsApp with anybody else, so one open conversation blocked every other customer. You are now reminded how many you owe instead of being stopped. The write-ups themselves are unchanged: still booked automatically, still not deletable
    • Moving between screens no longer shows “Loading…”. Kadefy now puts the figures you last saw straight back on screen and refreshes them behind you, a thin line under the menu appears if that takes more than a moment. The first visit to a screen still loads normally
    • Every list in Kadefy now shows 25 rows a page. It was 25 on the customer lists, 250 on Orders and everything at once on the report tables. Totals and exports still cover the whole list, not just the page you are looking at
    • NEW, a customer’s page now shows their last twelve months as a chart, with a toggle between revenue and number of orders. Hover a month to read it exactly. Empty months stay empty, so a customer who went quiet is visible at a glance
    • NEW, the Product mix report can be exported too, as CSV or Excel. It exports the level you are looking at, and carries the path you drilled through as its own columns so every row still makes sense in a spreadsheet
    • NEW, “Spend per brand” and “Categories” on a customer’s page are now walkable. Click a brand to see its Product Types for that customer, click a type to see the products themselves, and use the trail at the top to come back. “Samsung € 12.400” never answered much on its own
    • NEW, a customer’s billing address now appears on their page, taken from their most recent order that has one, with the order number shown beside it. Your shop keeps no street address on the customer record itself, only on orders, so this is the only place a complete address exists. Available once your store has had a full re-sync
    • NEW, click any order on the Orders page to open it. You get the line items, how the total is made up, and, once your store has been fully re-synced, the billing and shipping address and how it was paid. Click again to close
    • NEW, every export now offers Excel as well as CSV, on Orders and on all five Reports tables. In the Excel file numbers stay numbers, so you can sum a column the moment you open it rather than fixing the format first
    • Fixed: exported CSV files opened in Excel with “—” wherever a value was empty, and mangled any accented name. Two causes, both fixed: the file now carries the mark that tells Excel it is UTF-8, and the dash the screen uses for “nothing here” is left out of the file entirely, an empty cell is an empty cell
    • NEW, on Orders, “Include non-revenue statuses” now lets you choose WHICH ones. Ticking the box shows a chip per status with its order count; pick the ones you care about. Previously it was all or nothing, to see 2,800 cancelled orders you also got 30,816 shopping baskets. Your choice is remembered per store
    • Fixed: the Status column on Orders showed whatever language each order was placed in, the same status appearing as “Gereed voor verzending”, “Komplett” and “Ready for shipment” down one column. It now uses your store’s Product Language throughout, so the column can be read and grouped at a glance
    • NEW, a bell in the header. When an owner assigns you customers, you are told, once per assignment, however many customers it covered. Click it to go straight to them
    • Only people with a Kadefy login are notified, and only assignments made in Kadefy. Unassigning tells nobody
    • Fixed: choosing a custom date range reloaded the page on every click. Pick your two dates, in either order, and press Apply. Typing them and pressing Enter works too
    • Fixed: removing an account manager in your shop left them on the Team page here indefinitely. Kadefy only ever added and updated managers, it had no step for one that had gone. They now drop off after the next sync, along with disappearing from the assignment picker and the list of people you can invite
    • Their name still appears on past figures they earned, and on any customer or follow-up that refers to them. Removing someone from your shop is not meant to rewrite what they did
    • One exception, on purpose: a removed manager whose customers are still assigned to them stays on the Team page, marked “Removed from shop”. Hiding them would take their customers and revenue out of your team totals with no explanation. Move the customers to someone else and the row goes on its own
    • Put a manager back in your shop and they return here on the next sync, with nothing to do in Kadefy
    • Fixed: a tile on the dashboard sat shorter than the ones beside it

    Choose the hours your store syncs, and a faster dashboard

    • NEW, automatic syncing can be limited to the hours your shop actually trades. Set it on Connections, beside how often to sync. The hours are your shop’s own, so 20:00 means your evening
    • Worth knowing why: each sync rebuilds your figures afterwards, and that is the expensive part. Syncing through the night pays for it repeatedly on data nobody is awake to read, an 08:00–20:00 window roughly halves it
    • The dashboard is quicker on a large store, and no longer occasionally fails to load. Ranking customers and managers for a period used to re-read the underlying orders for the partial months at either end; it now reads far smaller prepared figures

    WhatsApp write-ups, syncing you can rely on, and a manual for every screen

    • NEW, "Message on WhatsApp" on a customer’s page opens a chat with them. Their phone number is a link too. If the number cannot be read, neither appears, a link that opens the wrong chat is worse than none
    • Opening a chat books you a write-up, due the same day, in the same list as everything else you owe. It closes three ways: write up what was discussed, "No reply yet" (one click, asks again tomorrow), or "Opened by mistake" (one click). It cannot be ticked off empty, and it cannot be deleted
    • One at a time, while a write-up is outstanding you cannot open another WhatsApp from Kadefy. Finish the last conversation before starting the next
    • Cancelling a follow-up now asks why, from a short list. Nothing is deleted: it moves into the customer’s History, struck through, with the reason and the name against it
    • Follow-ups can no longer be removed by whoever they landed on, only by the person who wrote them, or by an owner. Anything Kadefy created for you cannot be removed at all
    • NEW, a Help page in the menu, with a manual for every screen. Owners and account managers get different manuals, because the questions are different
    • Fixed: if a sync stopped unexpectedly it could leave the store stuck, no new orders arriving, and no way to restart it from the screen. "Sync now" refused, automatic syncing skipped it, and Stop did nothing. A stalled sync is now spotted and picked up again on its own, and Stop ends one properly
    • A sync that fails partway now resumes from exactly where it stopped instead of starting the whole store again
    • Syncing is quicker: Kadefy now asks your shop only for the customers that changed since last time, rather than re-reading your entire customer list on every run
    • Fixed: a store set to sync every 30 minutes was really syncing every 45. The wait was counted from when the previous sync FINISHED rather than when it started, so each run’s own length was added to every cycle. It now keeps to the interval you chose, and stores are checked more often so a sync starts within a few minutes of being due
    • Fixed: dark mode reverted to light whenever you refreshed the page. It now survives a refresh, and still loads without a flash of white
    • Fixed: in dark mode, anything that took its colour from the page rather than setting its own was unreadable, most visibly the first two bands on the Inactive page
    • The Kadefy mark now appears in your browser tab, so Kadefy is findable among a row of open tabs instead of showing a blank page icon. It also sits at the top left of the header, beside the name

    Worth a call, a worklist of ten, and figures that never go dark

    • NEW, "Worth a call" on the follow-ups page. Customers who are doing well but are missing something their peers buy: "Never bought Fingerprint sensors, 59 of 183 similar customers do, 7.0× the shop average"
    • Peers means the same main product category AND the same lifetime spend band, so you are compared with the same kind of buyer rather than with the whole shop. Which level groups them is yours to set, on the store's reporting settings
    • Every suggestion shows its working, including how much MORE that peer group buys it than your shop does. A product almost everybody buys says nothing about anyone, so the ones that stand out come first
    • It tells apart a customer who has NEVER bought something from one who used to and stopped
    • Ten a day, and they rotate, a different set of customers each morning rather than the same faces until you dismiss them. Adding a follow-up from that section takes the customer off it until the call is made
    • Your follow-up list is now the ten quiet customers worth the most per year, not fifty. The full count is shown beside it, so you can see how big the pile really is
    • Every suggested customer has "Not now" and "Dismiss…" beside "Add follow-up". Not now hides them for a week and they come back on their own; Dismiss takes them off until they order again, and asks why
    • Nothing disappears for good: a "Hidden from this list" section shows what was taken off, by whom and why, with a Put back button. The customer page carries the same, plus the full history of every decision made about that customer
    • NEW, Activity section on Reports → Account managers: what each person has done, what they have scheduled and what has slipped, opening with a chart of the team's work that you can narrow to one person
    • It also shows, per manager, how many of their customers are overdue an order judged against that customer's own buying rhythm, and how many have no follow-up planned at all
    • Rebuilding your figures no longer empties the screen. The dashboard, reports, follow-ups and customer lists carry on showing the previous figures until the new ones are ready, then switch over in one step, on a busy store that is five to ten minutes of blank screens gone after every sync
    • When a customer places an order they now drop off "Needs attention" within seconds of the next sync, instead of waiting for the figures to be rebuilt
    • NEW, a Help page in the menu, with a manual for every screen: what each section shows and what the figures mean. Owners and account managers get different manuals, because the questions are different, an owner needs to know where a number comes from, a manager needs to know who to ring next
    • The menu now folds into a hamburger on phones and tablets, with bigger targets to tap. Your follow-up reminder is still visible while it is closed, as a dot on the button, red when something is overdue, amber when it is merely due soon

On a shop whose order statuses appear in more than one language, the list was matching the WORDING of a status rather than the status itself, so orders written in another language were left out. The figure was right; the list was not
    • Fixed: handing a follow-up to a colleague left the customer sitting in your suggestions as though nobody had taken it on
    • Fixed: a follow-up booked months ahead used to hide that customer from every list until the date arrived. They now stay listed, with the booking shown on the row
    • Fixed: completing a follow-up put the customer straight back on the list the next morning. Recent contact now counts for a month
    • Fixed: on a store whose order statuses are listed in more than one language, the reporting settings page repeated the same status name and could put your tick on the wrong row

    • Filters now survive leaving a page and coming back. Narrow the customer list to Active customers of one account manager, look at a report, return, the list is still as you left it. The same on the inactive list and the follow-ups page
    • They are cleared overnight, so a browser left open does not greet you with yesterday's filters still hiding most of your customers
    • A bar above the customer list shows exactly what is filtering it and how many customers match, with each filter removable on its own and a Clear all beside them
    • The web address now matches what you are looking at, so you can send someone a link to the exact list on your screen, and reloading brings back the same view
